Context
A team distributed between Benin and Japan does not coordinate in meetings. And a public client needs to know where its contract stands without having to ask.
Challenge
Daily reporting is the first thing a team abandons. It had to take under two minutes, be prompted without a manager having to do it, and feed directly into a usable progress view — rather than ending up in a chat thread.
Response
A Slack bot — “Groot Bot” — sends reminders at scheduled times. Members submit their report through a multi-step form, short by design. Reports feed a project-by-project view: title, description, progress percentage, days remaining, tasks in flight and assigned members. Team management distinguishes roles — super administrator, project manager, member. It is from this tool that we steer our public contracts, including the National AI Programme.
